Count stock and post the differences

Stock in Finday matches the physical count, and the difference is recorded as an inventory adjustment.

6 stepsUpdated

Before you start

  • Active products with a base unit and an inventory account. Products missing either don't appear in the product picker.
  • An active warehouse.
  • Inventory write access, and inventory adjustment access to post.

Steps

  1. Step 1: Start a new stock opname

In the sidebar, choose Master Data, then Products. Open the Stock opname transactions tab and click New stock opname, or choose More actions, then New stock adjustment.

  2. Step 2: Fill in the document details

In Document details, fill in the Opname date and Warehouse. Check the Inventory adjustment COA, then choose the Entry mode: Counted quantity or Adjustment delta.

  3. Step 3: Enter the counts

In Physical count lines, click Add line, choose the product and enter the Counted qty. Finday shows the System qty, Variance and Value. Many products can be filled from the template with Import file.

  4. Step 4: Check the ledger impact

In GL impact & posting simulation, check the journal that will be made. If a line's Evidence is Missing, click Change cost and enter a Manual cost.

  5. Step 5: Save it as a draft

Click Create draft. While it is a draft, the counts can be changed and saved again with Save draft.

  6. Step 6: Post the stock count

Click Post stock count. Finday shows the adjustment journal's number.

When you are done

  • The stock opname is Posted with its journal. A surplus increases the inventory account, a shortage reduces it, against the inventory adjustment account.
  • Lines with no variance post nothing.
  • To undo it, click Void posted count and give a reason. Finday posts the reversing journal.

Common problems

Post stock count can't be clicked because a cost is Missing

Lines with a variance need a unit cost. Click Change cost on that line and enter a Manual cost.

A message says the stock opname action could not be completed

The inventory adjustment account must be an active detail expense account. Use the default account 8-80100 if unsure.

A message says unsaved changes use a local preview

Click Save draft first, then post.
