Record stock usage
Materials used for sales, such as coffee beans and milk, leave the warehouse stock.
Before you start
- An approved sales invoice, or a sales delivery, with its warehouse.
- Inventory adjustment access to post.
- Stock usage is always created from a sales document. For other usage, such as spoiled or internally used materials, record it through a stock opname.
Steps
Step 1: Start from the sales invoice
Open the sales invoice. In More document actions, click Create stock usage.

When you are done
- Warehouse stock goes down. No journal is made when usage is posted: its COGS is recognised when the period is closed in Month End Close.
- To undo it, click Void usage and give a reason.
Common problems
A message says the document date and warehouse are required
The source invoice or delivery needs a date and a warehouse. Complete the sales document first.
A message says each line needs a product and a positive quantity
Enter a product and a quantity above zero on every line, or remove empty lines.
The month-end close is blocked after posting usage
A material has no cost yet. Complete its cost, for example with a goods receipt, so COGS can be calculated.
