Import journals from a spreadsheet

Many journals, for example from an old system or a working paper, posted in one go.

5 stepsUpdated

Before you start

  • Access to post journals.
  • The account codes from the Chart of Accounts.
  • For cash or bank account lines, the account is linked in Cash & Bank and you have Cash & Bank write access.

Steps

  1. Step 1: Open the journal import

In Accounting › Journals, click Action, then Import journals. The Import journal entries window opens.

  2. Step 2: Download and fill in the template

Click Template. One row in the template is one journal line: journal_ref, journal_date, posting_date, memo, account_code, description, debit, credit, and a project, branch or division code if any. Rows with the same journal_ref make one journal.

When you are done

  • Each journal in the file is posted as a normal manual journal, with a link to each one.
  • Rows with the same journal_ref make one journal.

Common problems

The Post valid journals button can't be clicked

One invalid row holds back the whole file. Fix the rows with problems in the file, then upload it again.

A message says the posting period is closed

A posting date in the file falls in a closed period. Change posting_date or ask for the period to be reopened.

A message asks to match the columns to the template

Use the template from the Template button and keep its column names.
