Approve purchase orders and bills

You review the purchase documents waiting for your decision, then approve or reject them.

3 stepsUpdated

Before you start

  • You are an approver in the purchase approval route (Employee › Approval Routes) and have access to approve purchases.
  • A document waiting for your approval. The person who created a request cannot approve it themselves.

Steps

  1. Step 1: Open Purchase approvals

On the Purchase & Expenses page, click the Purchase approvals bell. The queue lists the documents Pending your decision, filtered by Bill, Order and Advance.

  2. Step 2: Review it

  3. Step 3: Click Approve or Reject

Confirm in the Approve request? dialog. On a document's detail page, Approve is in the bottom bar and Reject is in the More document actions menu.

When you are done

  • With a multi-level route, the document moves to the next approver.
  • After the last approval the status becomes Approved. A rejected document is Canceled.
  • An approved purchase bill appears in the Payment Schedule automatically.

Common problems

The Approve button is missing

It only shows for the approver whose turn it is. Check the Approval status panel on the document to see who it is waiting for.

Who decides the approvers?

A company admin sets them in Employee › Approval Routes, per document type such as Purchase Order and Purchase Bill.
