Set up leave types, balances and overtime types

Employees can choose a leave type and an overtime type, and their leave balance is tracked.

4 stepsUpdated

Before you start

  • Access to manage HR time off and overtime.
  • Approval routes for Time off and Overtime. Unlike purchases and claims, they have no fallback route, see the tutorial Set up approval routes.

Steps

  1. Step 1: Open Time & Attendance

In the sidebar, choose HR, then Time & Attendance. The page has the Requests, Attendance, Overtime, Balances, Policies and Ledger tabs.

  2. Step 2: Add a leave type

On the Policies tab, click New policy. In Manage leave types, fill in the Leave type name, for example Annual leave. Tick Unpaid leave if it is deducted from payroll. For a balance that grows by itself, turn on Automatic accrual. Click Add.

  3. Step 3: Fill in the employee's leave balance

On the Balances tab, click the pencil on the employee. In Leave setup, choose the Leave type and fill in Total, Used and Renew date. Click Add row for another type, then Save.

  4. Step 4: Add an overtime type

When you are done

  • Employees can request time off from the existing types, with their balance shown.
  • Every balance change is logged in the Ledger tab.
  • Overtime types are only names. The overtime amount is calculated when the overtime is approved.

Common problems

Employees see No leave types configured

There is no leave type yet. Add one in the Policies tab.

An employee can't request unpaid leave

Every leave type, unpaid ones included, needs a balance row for that employee in the Balances tab.
